Grow a list people remember joining

A healthy list starts before the first campaign. Make the signup promise clear, keep a record of how permission was collected, and give subscribers a straightforward way to leave.

Tell people what they are signing up for

Put the purpose, likely frequency, and sender name close to the form. If the form offers a download, explain whether ongoing marketing emails are also part of the signup.

Use a positive, clear choice

Do not hide marketing consent inside unrelated terms or preselect a checkbox. Requirements differ by location and context, so have the responsible owner check the rules that apply to your audience and offer.

Keep the evidence

Record the signup source, timestamp, wording shown, and any preference selected where your systems allow it. Keep these records in the approved system and limit access to people who need them.

Make leaving easy

Include a clear unsubscribe route in each marketing email and honor it promptly. Keep suppression records so an opted-out contact is not accidentally re-added by a later import.

Do not treat a valid address as permission

Address verification can help identify delivery problems. It cannot establish that a person asked to receive marketing from you. A purchased or scraped contact list also does not become permission-based because the addresses are valid.

Review the audience before every import

  • Remove duplicates and records that should remain suppressed.
  • Check that the source and purpose match the next campaign.
  • Keep consent evidence and customer records in your approved systems.
  • Send a relevant message at the cadence shown on the signup form.
